Co-op Fund - We have been chosen!


Ashdale Hall has been chosen for the next round of the Co-op Local Community Funding!! 

Our fund round starts 25th October 2020 for 12 months.  

You can still support us by becoming a Co-op member if you haven't already and select us as your chosen cause.  To become a member simply visit or by visiting your local Co-op store.  1% of what you spend on selected Co-op products and services automatically goes to us once you have selected to support us.

Due to limited fundraising opportunities with COVID 19 we appreciate all the help and support from our community to keep our hall looking great.

The Ashdale Hall is run by local people for the benefit of young to the elderly within the community.  It provides a venue for leisure, cultural, recreational and sporting activities.  The hall is now 25 years old and is in need of some refurbishment to make sure it can still serve the community for the next 25 years.

Please wear a mask

Ashdale hall has worked very hard to have the place in tip top condition after the lockdown and we cannot wait to welcome you back to some normality!  We've had professionals in to deep clean the whole of the building and we shall be carrying out more frequent cleaning each day.

All we ask of you is to remember the COVID rules and regulations and please wear a mask (if not exempt) on entry and exit of the building in the foyer and toilets.

Please observe social distancing and the one-way entry and exit system.

Please DO NOT attend any classes if you have any COVID like symptoms.

We've had the painter in!  All internal and external doors have been painted blue, hallway and foyer has been papered and painted.  We're looking forward to welcoming you back!  I hope you agree the place is looking great!!

The Committee and Facilities Manager have been busy!  Look at our gorgeous new white contemporary kitchen which we recently replaced with the help of fundraising carried out throughout the last year.

PRESENT:   The attendance record lists the people who were at the meeting; 22 members of the public attended.

COMMITTEE MEMBERS PRESENT:  Mike Tolstyko (Chairperson); Colin Currie (Treasurer); Les May (Committee Member); Pam Dignan (Committee Member)

ALSO PRESENT:  Gillian Wood (Community Leisure Officer, Aberdeenshire Council), Dawn Brown (Garioch Partnership), Adrian Hidalgo (Facilities Manager); Fiona McCallum (Administrator)

APOLOGIES: Karen Scott (Jazzercise); Annette Macpherson (Pilates)

Mike Tolstyko, Chairperson, welcomed all to the meeting and thanked them for attending.  He then explained the meeting would consist of two items:

1          To recognise two previous Hall Committee Members; and

2          To approve the new WDPHA Constitution.


Mike presented both John Fraser, former Chairperson and Allan Fair, former Treasurer, with a voucher and thanked them both for all their hard work and commitment over the years at the Hall.


Mike handed over to Dawn Brown of the Garioch Partnership who outlined why the WDPHA were dissolving the current Constitution and adopting a new one.  The current Constitution has been in place since 2002 (the original Constitution was adopted in 1992) and legislation has changed since then, making it outdated.  WDPHA needs to ensure its governance is up-to-date and the new Constitution will better protect those who volunteer to manage/oversee the running of the Ashdale Hall.  Some hard copies of the new Constitution were circulated at the meeting; further copies can be emailed on request.  Once registered with OSCR, the new Constitution will be a Scottish Charitable Incorporated Organisation (SCIO) and the name of the new organisation will be “Westhill and District Public Hall Association SCIO”.  Dawn also explained that funders are attracted to SCIO charities (eg, National Lottery) so we could potentially receive more grants and funding in the future.

Notwithstanding the change in the Constitution, the Hall will continue to run as usual, same stakeholders and customers.  The initial Trustees on the Board will consist of Mike Tolstyko (Chairman), Colin Currie (Treasurer) and Les May.  The intention will be to increase the number of Trustees on the Board over the coming year.  The new Constitution, for a meeting of the Members, requires a quorum of 5.  The only commitment required for the Members is that they attend the Hall’s AGM each year.

The new Constitution is proposed to take effect 1st April 2019, at the beginning of the new financial year. 

Questions from audience were then invited

i.          Could a “Friends of the Hall” be set up?
Yes, this could be a sub-group set up as part of the Constitution

ii.         Will there be a fundraising committee?
Yes, this will be set up later on after the new Constitution is in place.

Those attending the meeting were then invited (via a show of hands) to vote who was in favour of adopting the new Constitution; there was a unanimous vote of all those present.

Attendees were then invited to volunteer to become Members of the new SCIO and forms were handed out for them to complete.

Dawn mentioned to the Committee that they could write letters to oil companies to possibly attract funding from the likes of Apache; Nexen and CNOOC.  Many oil companies also hold corporate team building days and could assist with hall maintenance as part of such an event (eg, decorating, tidying garden, etc).

Mike thanked Dawn for attending the meeting and explaining the new Constitution, he also thanked all the members of the public for attending the meeting.    

Producer’s Market
Committee Members agreed to speak to Market stallholders at the next Market (Saturday 2nd March) at their request.

The next Committee meeting was arranged for Wednesday 6th March 2019 at 7pm at the Ashdale Hall.
